PLANNING A BACH PARTY WITH VACAY VIBES

1. The Intro Phase: We will have an introduction call or zoom to discuss your ideal bachelor/ette details (dates, location preferences, number of people, budget, etc.) This is also an opportunity to see if we are a good fit based on what you envision for your trip.

2. The Research Phase: After that call, I will send over my research fee in order to get started (typically $50). Once that is paid, I will send you an initial proposal within 48 to 72 hours that includes 4 to 6 suggested properties with current estimated pricing based on our earlier conversation. Upon reviewing the proposal, we will narrow down the options and/or make adjustments if your needs change.

3. Decision Time: After a few days, ideally you’ll decide on the resort/villa that you feel is the best fit for your group. We’ll reconfirm the dates, room categories we want to book, current pricing, and number of people per room.

4. Once the above details are confirmed, I will also create a website for your Bachelor or Bachelorette Party that we will send out to all of your guests and it will include the details they need to know. I will collect RSVPs through the website and will begin sending each guest their reservation invoices as well as important info about payment dates.

Here is where I would also send over my “planning fee” of $25 per person.

5. The following weeks and months are when we will discuss any additional services or activities that you’d like to add into the itinerary. For example, if your group would like to do a local excursion such as a catamaran and snorkeling trip, zip-lining, ATV adventures, or anything else for that matter, this is when I’ll send over lots of different options with pricing and I’ll assist with confirming the tour for your group.

6. During this time leading up to your trip date, I’ll be communicating with you and your guests in regards to making payments towards their individual balances, any updates about the destination, Covid protocols, etc.

7. “Almost There” Phase: About 1 to 2 months prior to your travel dates, I will reach out to all of your guests and ask for their flight information so that I can coordinate airport transfers to and from the resort/villa.

8. Finalization Phase: A couple of weeks prior to your travel dates, I'll send your guests their official travel documents with all of the reservations and confirmations that they need to check into the resort, locate their airport transfers, and any other important travel information.

9. The Excitement Phase: You've made it! While you're in the destination about to celebrate your Bach Party, I'm still your main point of contact should you have any questions or would like to organize something last minute.
